The International Committee of the Red Cross (ICRC) Delegation in Ethiopia is looking to hire an experienced, highly motivated and qualified person to fill the position of Administrative assistant 1  (1 year fixed term contract), based in Nekempt.

GENERAL DUTIES

§ Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement

§ Understands and adheres to the ICRC Code of Conduct

§ Understands the roles of the components of the International Red Cross and Red Crescent Movement

§ Respects and observes staff regulations and security rules at all times

§ Represents the ICRC in a professional manner at all times

§ Develops and maintains a pleasant and conducive working environment with colleagues and line managers

§ Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC

§ May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary

ACCOUNTABILITIES AND RESPONSIBILITIES

§ Handles the sub-delegation’s cash disbursements and payments, including working advances

§ Prepares invoices for payment (by cash, check or bank transfer)

§ Carries out daily cash count and reconciliation

§ Participates in cash-flow management, ensuring sufficient liquidity. Handles cash replenishment from the bank

§ Files and reports on relevant documents

§ Ensures respect for financial procedures and guidelines and explains to “client”

§ Prepares and follows-up bank payments, cash collection, performs payments in cash against validated invoices and signed vouchers, reconciles balances, carries out daily cash count and reconciliation

§ Assists the welcome department at delegation and be the focal point for all administrative activities

§ Organizes communication flow between ICRC offices sub delegation and delegation regarding staff travel and accommodation (ICRC staff and guests)

§ Organizes welcome files, business cards, briefing programmes and tours of the sub delegation for new arrivals

§ Organizes the Welcome side of events/meetings/seminars, coordinating with parties concerned.

§ Prepares for meetings by setting up rooms and materials, including technical set up for conference calls, presentations and video conferences

§ Carries out secretarial tasks such as making photocopies, destroying documents and managing stationary stocks

§ Applies information-management instructions and ensures compliance with procedures

§ Drafts and finalizes correspondence, bordereaux, internal presentations and other documents; shares information among users

§ Collects/distribute from/to department and send/receive to/from delegation documents and correspondence by organizing POUCH bags/envelop.

ADDITIONAL DUTIES

§ Follows up on all work-related messages and correspondence with the relevant contacts and departments.

§ Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant to the position.

§ Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRC’s image.

§ Takes responsibility for the own professional learning and development.

§ Upon request, participates in other programs based on operational priorities.

§ High school graduate of above

§ Certificate in finance/accounting or similar field.

§ 2 years confirmed practical experience in similar field

§ Good command of English language, Amharic and Oromiffa.

§ Good computer proficiency
